Decide what spanning the steps really involves

Ramps over steps may cross one shallow riser, several external treads or a complete stair flight. Count and measure each component before discussing length. Record total rise, individual tread depths, landings and any change in direction. A board-like product cannot simply be laid from top to bottom because the route looks straight. The scale and structure determine whether portable equipment, a supported modular ramp, a lift or another entrance deserves assessment.

Draw a section through the staircase

Create a side view showing every nosing, the upper landing and the lower ground. Add the proposed bearing points and available run. A ramp may touch intermediate step edges even when intended to span freely, changing its support. Include rails, walls and projections on a plan view. Use a consistent datum and date the survey. This drawing helps a competent adviser identify assumptions that a total height measurement would conceal.

Measure landings as functional spaces

The bottom area must allow a wheelchair to line up without turning on the incline. Above, the whole chair needs level space before a door, corner or pause. Measure clear dimensions after accounting for frames, handrails and stored objects. Show where the helper stands during ascent and descent. A landing that contains the ramp end but not the wheelchair is incomplete. Consider the recovery path if the crossing must stop partway.

Assess the staircase as a supporting structure

Identify tread material, nosing condition and which surfaces could carry the system. Loose tiles, worn carpet, narrow edges and decayed timber may not provide dependable bearing. Do not remove handrails or load balustrades without design advice. Blocks, loose boards and household packing cannot make an uncertain contact acceptable. For permanent or modular work, appropriate structural and building expertise should establish foundations, fixings and support rather than relying on product capacity alone.

Record wheelchair dimensions and transition needs

Measure overall working width, track, wheelbase, smallest castor and ground clearance with normal footrests, seating and accessories fitted. Obtain occupied mass where the system is intended to carry the user. The upper breakover can affect low anti-tip parts, while channels demand precise wheel alignment. Create another record for each chair or scooter expected on the route. A single width figure does not capture these differences.

Distinguish temporary decks from modular routes

A portable platform can suit a modest, measured level change within its instructions. A modular ramp uses supported sections and landings configured for the site. Full stair flights commonly need a designed solution rather than an exceptionally long loose ramp. Compare installation, permission, inspection and emergency movement as well as apparent portability. Equipment that stays over steps for most of the day should be evaluated according to that real use, not called temporary by convenience.

Relate incline to the complete travel system

Use current guidance for the proposed ramp and appropriate professional advice for the person and chair. A universal slope number is insufficient. Longer sections may reduce incline but require more space, support and handling. Shorter ones can increase effort and transition angle. Include upper overlap within the measured run. Reject any arrangement that depends on an unsupported centre, shortened bearing or combining parts not designed to operate together.

Preserve a separate pedestrian route

When steps remain beside a ramp, check that walking width, handrails and tread edges stay usable. Avoid creating a pinch point where wheelchairs and pedestrians meet. Children, visitors with limited sight and people carrying items need a clear path. In shared buildings, maintain required circulation and evacuation. A design that improves one movement while making the stairs hazardous is incomplete. Site planning should address both routes and their intersections.

Coordinate upper doors and gates

An outward-opening door can sweep across the ramp or landing. An inward-opening one may consume manoeuvring space after ascent. Record latch reach, closer force and security sequence. Decide where the wheelchair waits while someone operates the entrance. Nobody should balance on the incline or lean across the user. Door automation or an altered swing may be part of the solution, subject to suitable advice and building requirements.

Manage exposed edges and turns

Review side-edge protection, any drop beside the deck and the need for guards or handrails in a designed installation. A raised ramp edge is not necessarily a pedestrian handrail. At turns, provide a level platform large enough for the wheelchair and operator. Do not pivot with wheels remaining on a sloped section. Complex geometry should be set out by an access designer rather than improvised from straight components and a convenient intermediate tread.

Plan drainage and seasonal maintenance

Exterior steps can channel water beneath a ramp or collect leaves where sections meet. The system should not dam drainage or redirect runoff towards the building. Observe frost, shade, algae and winter treatment. Follow the documented deck cleaning process. Permanent work needs ongoing checks of foundations and fixings; portable products need dry storage and inspection. Establish who performs these tasks and what alternative route remains during closure.

Confirm loads, supports and intended users

Find the rating for the exact ramp length and support configuration. Verify occupied wheelchair use and include the complete working mass. Capacity is one design limit, not approval of the staircase. Check any requirements for intermediate support, edge engagement and anchoring. Similar modular parts may look interchangeable while having different roles. Keep technical documents connected to model and section identifiers so replacements are not selected by appearance.

Prepare a staged acceptance trial

Start with inspection and permitted unloaded checks. A larger stair route should involve appropriate professional oversight. During wheelchair assessment, observe alignment, castors, footplate clearance and operator position in each direction. Agree an immediate stop command. End the trial for shifting support, abnormal flex or uncertainty at a landing. Include entry to and exit from the complete route. Crossing the central deck alone does not prove the staircase arrangement works.

Review permissions before occupying shared space

Landlords, managing agents, employers or public bodies may control the stairs and surrounding land. Establish consent, responsibility and any access or building requirements before installation or repeated deployment. Temporary placement can still obstruct others or affect fire doors. Record the agreed operating times and storage. A verbal assumption is weak evidence when several organisations manage different parts of the same route.

Create a staircase evidence pack

Keep the dimensioned drawings, wheelchair profile, user requirements and candidate specifications together. Add landings, door operation, support, drainage, rails, load conditions and unresolved questions. Identify the source and date of every critical figure. This pack gives advisers enough context to compare systems and reduces the chance that a later conversation uses only total rise while forgetting a turn, weak nosing or restricted lower approach.

Set inspection triggers as well as intervals

Alongside routine checks, require reassessment after impact, flooding, settlement, stair repair, a new wheelchair or changed assistance. Look for loose supports, corrosion, surface damage, missing parts and unreadable labels. Close the route when condition is uncertain and provide another access plan. Do not patch, drill or reconfigure sections without authorised guidance. A trigger-based system responds to real changes between scheduled inspections.

Compare with alternative paths early

Walk the property boundary and internal route to find a lower entrance, regraded path or location suitable for a lift. Consider distance, lighting, locks and access to essential rooms. Another route should not send the user through a hazardous service area or add hidden thresholds. Comparing alternatives before buying long sections can reveal a simpler, more dignified solution than placing ramps over steps at the most obvious doorway.
